    Dear All,

    Taking into account your preferences and our organisation plans for the XLIFF Symposium, we decided that the face-to-face meeting will take place on September, 21 from 18.00 to 20.00 o clock at the Carlton Catletroy Hotel. We will try to set up a teleconference line so that members who do not attend can dial in. Another e-mail with more detailed information will follow.
    We look forward to meeting you for a fruiful working meeting.

    Formally, they should not. This is why I had proposed to establish if we want to have an OASIS work meeting or an unofficial PR meeting..

    Hi Asgeir,
    
      Our rules prohibit that. However, it's a perfect opportunity to hold an informational gathering prior to the TC meeting itself where you can talk about the work the TC is doing, what it's planning to do in the future, and how they can become participants. Then you can move into the formal meeting thanking the non-members for listening and encouraging them to join OASIS and the TC.

    Thank you Asgeir for posing the question and Mary the OASIS guideline. In fact, what Mary describes is exactly what we've done in the past two face-to-face meetings we've had in Wiesbaden, and the recent DITA conference in Munich (though the official TC meeting there did not take place). We've had good success by having the first hour open to the public. Then at the start of the second hour, we thank the visitors for coming, *close the door*, and then take roll call.
    
    Though I think the intent of this meeting was to have several hours of nose-to-the-grindstone TC work to move XLIFF 2.0 along (i.e., Yves' W3C ITS model), I think this might be an opportunity to get the most from a format like the one Mary described. Especially since the entire focus of the symposium is XLIFF, we should have a greater opportunity than we've ever had to get substantial input from interested attendees. And, (noticing Asgeir's parenthetical "yet"), we might have an opportunity to recruit more interested TC members.
