Fw: [office] meeting minutes

Sorry, just updated my email client (Notes 8.0.1).  They moved some things around in the UI, so I'm clicking wrong buttons.  I meant to send to the whole list.

I think that'd be really useful so that one could get all the minutes
    in one place.

Also, I think you only sent the reply to me and not the list.

This would be very useful indeed. I often had questions from other KOffice developers
about something they requested through me, and the detailed answer is in the
meeting minutes, but finding them is not easy.

    Hi all,

There are three recommended ways to keep minutes: in the body of an email
message, as an attachment to an email message, or uploaded documents in
Kavi. In any case, the subject line/file name should clearly identify the
contents: 2008-10-1 Meeting Minutes would be the meeting minutes for 1 Oct
2008 allowing for easy location. The minutes page was established for
minutes prior to Kavi (mid-2002); there is no direct access to this page. I
can update it with a note if you let me know where/how you keep your
    minutes.

    Regards,

    Mary

It would probably be nice to at least note that it's only valid for
minutes before mid-2002. I also think it'd be nice to have a minute
mailing list so that one doesn't have to inefficiently search the mail
    archives for meeting minutes.

This is true, however the problem is actually more complex than that.
It is often quite difficult to find _which_ meeting minutes answer a given question.
Often the question is sent by email to the TC list, and the answer is in
the meeting minutes of *some* meeting later on, but not necessarily the next one,
it can sometimes take a few months before we get to that question...
I was looking today at whether a given question from a long time ago
had been answered during a call, and that turns out to be rather tedious,
since it means reading all the meeting minutes after the question was asked.
For a TC member with a local mail archive this is doable (filter on subject, then
filter on contents); for outsiders it's almost impossible AFAIK.
But I don't really have a proposal for how to improve this, actually, this isn't a
complaint at all, it was merely a +1 on the note that things are more difficult
    for non-TC-members.

    Hi David,

    did you check

    http://wiki.oasis-open.org/office/List_of_Proposals

It does not list all questions or suggestion that have been posted to
the mailing list, but at least all proposal together with the date a
    proposal has been agreed.

For proposals that follow our new process you additionally find the
dates when proposals have been discussed in the proposal's wiki page.

You are right, the new process solves the problem of the old process indeed.
I didn't realize that since I was reporting about the old problem.
Indeed this problem is solved for the future; the wiki page and the proposal
process allows a much higher-level overview of the lifetime of proposals
    than the mailing-list archives.

It's also quite painful for new TC members.

Ability to search in the archive would be helpful. I haven't found a way to
    do that.

Also, being able to download the archives so that I can search them locally
would be a terrific help. I have been given tips about that, but I haven't
succeeded in having the server cough up an archive yet.

     - Dennis

PS: Meanwhile, I end up revisiting things that have been disposed of
already, relying on my long-suffering committee-member peers to correct me.

    Hi Dennis et al,

The best current way to search the email archives is with Google. That
said, we're in the process of gathering archives and sending them to
MarkMail; I'm not sure how long it will be before they're available.

Excellent idea. MarkMail indexed KDE's mailing-lists and the result is indeed
very powerful in terms of searching.

Have you tried a site-restricted search using Google, something like this:

    site:http://lists.oasis-open.org/archives/office/ "Meeting Minutes"

    "Dennis E. Hamilton"
