  • 1.  Recording Meeting Attendance

    TC Members: There have been questions about recording meeting attendance in the new system, so here is some guidance (my apologies for the length of this but it's hard to simplify).

    The New System:

    1. Unlike the previous system, in order to record your attendance at a meeting you must be RSVP'd for that meeting ("event" in the new system's lingo). You can do that for yourself or the Secretary can RSVP any TC member (before or after the meeting). 
    2. At least for now, if the Secretary RSVPs members who attended a meeting in order to record their attendance, those members will get a calendar invitation email even if the meeting has already happened
    3. When you RSVP you will be RSVP'd for all of the meetings remaining in the meeting series.
    4. Once you've RSVP'd, either the member or the Secretary can record your attendance when the meeting is held. 

    Because of #2 above, so far I've only recorded attendance for the March TC meeting sessions to avoid creating a number of potentially confusing calendar emails related to working meetings. I've also notified OASIS that the meeting attendance reports I'm getting from the roster page don't align with the recorded attendance.

    What to do now:

    Right now, we're at the start of a new 6 month block of meetings and I've updated the Please Record Your Attendance links in our Lucid Meeting agenda templates to point to the new calendar. So the easiest way to handle this (assuming you plan on attending meetings) is: 

    1. Visit the TC home page at OASIS. 
    2. Log in, if you aren't already.
    3. Click on the Events link to access the TC's calendar and navigate to see the April calendar.
    4. For each of the 5 meetings series (three working meetings on the 3rd, 10th, and 24, and two TC meeting sessions on the 17th): 
      1. Click on the event in the calendar, which will open that event in a new tab.
      2. Click the RSVP button. This will RSVP you for all of the meetings in the series (April - September). It will also generate an RSVP Confirmation / calendar invitation email from OASIS to your registered email address. 

    Once you've RSVP'd, you can then use the link on the first page of our Lucid Meetings agenda to jump to the calendar, select the current event, and record your attendance. For TC meetings I always reconcile the attendance Lucid records with the OASIS record.

    The future: when it comes time to schedule the October - March meeting block I can opt to send invitations from both OASIS and Lucid. That will allow you to RSVP by accepting the OASIS invitation but means you'll received parallel calendar invitations for each meeting. We can discuss this in our August / September meetings and I'll act according to whatever consensus we reach.

    Follow-on question:  So we can't just RSVP from our Email systems, we need to actually go to the OASIS portal and RSVP on the TC calendar?

    If so, this could explain why I've not been able to record attendance.  I'd been RSVP'ing the invites from my Outlook email.

    This has kind of "yes" and "no" answer: because I haven't sent invitations ahead of time from OASIS, you weren't given the opportunity to RSVP via the email invitation.  The invitations you've gotten have been for events that already happened and I'm frankly unclear what the results of responding yet to those actually is in the OASIS system. Also, those events happened in March so were at the end of a series and wouldn't propagate to the next series (April – September). All of this is part of the learning process with the new system.

     

    This is also the reason for my note about "the future" at the end of the email; I could do things differently when I schedule the next 6-month block of meetings (October – March).  And I just checked, I could go back and send invitations for the April – September meetings now. Members will have parallel meeting invitations, but would be able to RSVP via email.  I could send a follow-up message offering that option, but it's going to be an all or nothing thing: every TC member will get the invitations from OASIS.

    TC Members:  I need to correct an error in my initial message. I wrote:

    Re-reading the relevant FAQ entry, I realize that's incorrect: when TC members RSVP for an event that doesn't enable them to record attendance later. It's still up to the Secretary or Co-chairs to actually record whether a member who RSVP'd actually attended the meeting; the prior RSVP just makes that a bit easier. 

    My apologies for any (additional) confusion I created with that part of my message, and thanks to Patrick Maroney for setting me straight. And I'll update our standing meeting agenda templates to reflect the situation.
